Code Of Conduct
Burton Latimer Dog Club is run by volunteers for the benefit of others and their dogs. To ensure the Club runs as smoothly as possible we have set out below our basic code of conduct which as a handler/owner you agree to abide with.
- The Club will not accept any dog being abused for any reason.
- The owner is responsible for their own dog(s) at all times whilst on Club premises.
- All owners are responsible for cleaning up after their own dog(s) and the removal of all mess. This applies in the hall and the surrounding area.
- All dogs must be micro chipped and fitted with an appropriate collar that holds an identification tag containing all relevant information.
- All dogs must be kept on a lead at all times, unless otherwise instructed by a Trainer.
- The Trainer shall be in sole charge of their class and shall be empowered to exclude any dog or handler at their discretion.
- Dogs must only be handled by one owner/handler in class.
- If a dog’s handler is below the age of 16 they must be supervised by their parent/guardian.
- All handlers/owners must produce acceptable evidence from a vet of having sought protection for their dogs from serious transferable canine diseases. This may be through vaccinations or other recognised means.
- Where protection is through vaccination, puppies can only attend their first class 10 days after completing their vaccination course.
- Puppies must be at least 12 weeks old before attending their first class.
- Bitches in season are not allowed at training sessions.
- We ask handlers/owners not to bring dogs with a contagious condition to the club.
- Handlers/owners must inform a member of the Committee if their dog has kennel cough.
- In an attempt to prevent the transference of contagious diseases the Club does not condone the use of shared toys and will not provide a communal water bowl. Water can be provided for dogs if requested and owners should bring their own bowl.
- Each handler/owner will receive a copy of this Code of Conduct and must abide by it.

- This Privacy Notice sets out the basis on which any personal data that we collect from or about you, or that you provide to us, will be processed by us.

Data Protection Principles
- We will comply with data protection law which says that the personal information we hold about you must be:

Particulars of processing
- We collect the following personal data; name, address, email address, telephone numbers and medical conditions (only those that we need to be aware in case of an emergency during a training class).
- We process the personal data for the following purposes:
- Provision of services in connection with training classes
- Compliance with the Clubs Code of Conduct
- Compliance with Kennel Club rules and regulations
- Compliance with Health and Safety Regulations
- Contacting you regarding club events and training classes
Your rights as a data subject
- The General Data Protection Regulation provides the following rights (subject to some exemptions):
- The right to request access to the personal data that we hold about you;
- The right to request rectification of the personal data that we hold about you;
- The right to request erasure of the personal data that we hold about you;
- The right to request restriction of processing about you;
- The right to object to processing; and
- The right to data portability.

How we will use information about you
- We will only use your personal information when the law allows us to. Most commonly, we will use your personal information in the following circumstances:
- Where we need to perform the contract, we have entered into with you.
- Where we need to comply with a legal obligation.
- Where it is necessary for our legitimate interests (or those of a third party), and your interests and fundamental rights do not override those interests.
- We may also use your personal information in the following situations, which are likely to be rare:
- Where we need to protect your interests (or someone else's interests).
- Where it is needed in the public interest, or for official purposes.
- We will generally process your personal data for contractual necessity in providing training classes and events. We may also use personal information for additional relevant and related purposes where you might reasonably expect us to do so, where the benefits of doing so are not outweighed by your own interests or fundamental rights or freedoms. - We will ask for your direct consent if we intend to use your personal data for marketing purposes. How we will store your information
- Paper registration forms are retained under the control of Club officers.
- The class attendance records, and registration details, are maintained on the Club lap top.
- The Club lap top is password protected and the password is known only by Committee members.
- The lap top has recognised anti-virus protection and all files and backed up.
- All emails are sent from the Club email account in such a way that individual members do not see other members email addresses.
How long do we hold your personal data for?
- Personal data will be retained by the Club whilst you continue to attend classes and for a period of no more than 24 months after you cease attending classes.
- Any personal data shared with the Kennel Club will be held by the Kennel Club in accordance with its requirements and retention policy.
Are you obliged to provide us with your personal data?
- You are not obliged to provide the personal data in question. However, if you do not provide the personal data, we will be unable to offer a place on a training class.
Recipients of your personal data
- We do not and WILL NOT use service providers to help us provide you with our services.
- We do not and WILL NOT share data with any third party for marketing purposes without your informed consent.
- The Club may arrange for photographs or videos to be taken of Club activities and published on our website or social media channels to promote the Club; but will only share your personal data with:
- the Kennel Club that hold the personal data of officers of the Club as a part of the implementation of Kennel Club Rules and Regulations.
- the Kennel Club if you submit your dog for “testing” under the Kennel Club Good Citizen Programme.
- other authorised bodies as required by law if appropriate.
